Pitch & outreach

Pitch and outreach tools for UGC creators

Send a specific, credible pitch — and actually send the follow-up.

A UGC pitch is short. Four or five sentences: who you are, one concrete idea for their product, a link to work, a rate or starting rate, and a question that is easy to answer. Longer pitches do worse, and pitches without a specific idea do worst of all, because a generic offer of "content" gives the reader nothing to react to.

Which means the tooling question is not really about writing. Most creators can write a good pitch. What they do not do is send the follow-up, and the follow-up is where a large share of replies come from.

What to look for

Follow-up that surfaces on its own
The highest-value function by a distance. A pitch sent eleven days ago with no reply needs to appear in front of you without you remembering it existed.
Personalisation that is real, not merged
A named product and a specific angle. Merge fields dropped into a template are recognisable instantly and read worse than an obviously manual short email.
Sends from your own mailbox
Bulk-sending infrastructure aimed at sales lands in promotions folders and spam filters. For the volumes a creator sends, your normal mailbox is both better delivered and more credible.
The pitch becomes a deal record
If a reply means re-keying everything into a different system, the pipeline is already leaking. The sent pitch should be the same object that becomes the deal.
Volume you can defend
Creator outreach works at tens of emails, not thousands. Any tool that pushes you towards mass sending is optimising the wrong variable and will damage your sending reputation.

The options

OptionWhere it winsWhere it stops
Your normal email clientBest deliverability, most credible, zero cost, and templates or canned responses cover the repetitive parts. No memory. Nothing tells you who has not replied, so follow-up depends entirely on your discipline — and it is the first thing to go in a busy week.
Sales sequencing softwareThe cold-email and sales-engagement platformsPowerful automated sequences, tracking, and A/B testing, built for high volume.Designed for a scale and a tone that hurts creator outreach. Automated multi-step sequences read as automated, and brands respond to creators as people, not as a funnel. Also priced for sales teams.
A spreadsheet plus manual sendingFree, and the sheet does give you a record of who was pitched and when. The sheet is passive. You still have to open it and decide who needs chasing, which is exactly the step that gets skipped.
A creator workspace with pitching built inPitch, reply, and deal are the same record, and stale pitches surface automatically. Not built for high-volume sending, deliberately. If you want thousand-email campaigns, this is the wrong category.

Where sproutUGC sits

sproutUGC has a pitch builder that composes from your portfolio and rates, and pitches that go quiet for fourteen days resurface on the dashboard so the follow-up gets sent. There are also free pitch and follow-up email templates on this site with no signup. If you want automated multi-step sequences at scale, use a sales tool — we deliberately do not do that, because it does not work for this audience.

You don’t need a tool for this if…

  • You are pitching under ten brands a month and reliably follow up — a template and a calendar reminder is the whole system.

Questions

How do I write a UGC pitch email?

Keep it to four or five sentences. Open by naming their specific product and one concrete idea for it, say in one line who you are and what you shoot, link to your portfolio rather than attaching anything, state a starting rate so the budget question resolves itself, and close with an easy question. No long introduction, no life story, and a subject line that names the product.

How many times should I follow up on a UGC pitch?

One or two follow-ups, spaced roughly a week to ten days apart, each adding something rather than repeating the ask — a new idea, a recent piece of work. A meaningful share of positive replies arrive on a follow-up rather than the first email, which is why it is the highest-return habit in outreach. Stop after the second.

Should I use automated cold email software as a creator?

Generally no. Sequencing platforms are built for volumes far above what creator outreach needs, they deliver worse than your own mailbox, and multi-step automated sequences are recognisable to the marketers you are writing to. Sending manually from your own address at low volume, with disciplined follow-up, outperforms it.
