Agency management
Software for UGC agencies and creator rosters
Run many creators against many briefs without losing the margin.
A UGC agency is a different business from a UGC creator with more work. The unit is a brief that has to be matched to a creator, delivered to a brand, and settled on both sides — and the margin lives in the gap between what the brand pays and what the creator is paid, which means every delay or re-shoot comes out of it directly.
The operational risk that scales worst is rights. One creator tracking four licences is a memory problem. Twenty creators across sixty deals, each with its own term and territory, is a compliance problem — and the agency, not the creator, is usually the one the brand comes to.
What to look for
- Two-sided records
- Every job has a brand side and a creator side with different rates, terms, and dates. A tool that models one deal with one price cannot represent the business.
- Margin visible per job
- The number that decides whether the agency works. If it is only calculable in a spreadsheet after the fact, you will find out you underpriced a client several months late.
- Rights across the whole roster
- Licence terms differ per creator per deal. You need to answer "what expires this quarter, across everyone" as one query.
- Creator payouts as a first-class flow
- Paying creators late is how a roster stops taking your briefs. This is an accounts-payable problem, not an invoicing one, and it is the half most creator tools have no model for.
- Brief-to-creator matching
- Who shoots which category well, who is available, who is exclusive to a competitor. Held in someone's head, this becomes a single point of failure.
The options
| Option | Where it wins | Where it stops |
|---|---|---|
| Spreadsheets and shared folders | How nearly every agency starts, and workable at a handful of creators. | Breaks on the two-sided ledger. Margin errors and missed payouts are the usual first symptoms. |
| A project-management tool plus accounting softwareGeneral work-management platforms alongside small-business accounting | Flexible, mature, and covers delivery and money properly between them. | You maintain the join between the two systems, and rights tracking exists in neither. |
| Influencer marketing platformsThe brand-side campaign platforms | Built for running campaigns across many creators at once, with reporting brands recognise. | Built for the brand or the media agency as the buyer. The creator-payout and margin side is not the problem they are solving. |
| A creator workspace used per creator | Each creator's deals, rights, and invoices are properly modelled. | Does not roll up. Without a roster view you are back to a spreadsheet for the agency-level questions. |
Where sproutUGC sits
sproutUGC is built creator-first, and small agencies use it by running the deals they own with rights and invoicing in one place. It does not currently model a two-sided ledger with creator payouts and per-job margin as a roster-level view — if that is the core of your problem, this is not yet the right tool and it is better to hear that now.
You don’t need a tool for this if…
- You are a solo creator subcontracting occasionally — your existing tools plus an expense line covers it.
Questions
What does UGC agency software need that creator software does not?
A two-sided ledger. Every job has a brand rate and a creator rate, and the difference is the business. It also needs roster-wide rights visibility, because licence obligations aggregate across creators and the brand will come to the agency, not the individual, when something is still running after expiry.
How do UGC agencies track rights across many creators?
By storing the licence term and scope on the job rather than in the contract file, and querying across the roster by expiry date. The scaling problem is not any single licence — it is that sixty of them with different terms cannot be held in anyone's head, and the aggregate view is what surfaces the one about to lapse.
